Job Summary:
The Administrative Assistant is responsible for providing administrative and project support to the Vice President, Operations and direct reports. This position functions in an unarmed off site regional office environment.   

Key Responsibilities:
• Maintain department files, travel arrangements, prepare correspondence, screen and distribute incoming mail, publications and other correspondence, field telephone calls
• Process departmental invoices and expense reports for payment
• Maintain staff personnel files and update PeopleSoft as needed
• Prepare or modify PowerPoint and Visio presentations and presentation binders
• Prepare monthly reports and conduct research for a project or legal matter
• Coordinate department meetings and training sessions
• Arranges meetings and conferences, schedules appointments, and completes travel or conference arrangements
• Utilizes advanced computer skills to update and maintain department’s computer system and files
• Receive and screen visitors and telephone calls, and notifies appropriate personnel or records messages
• Responds to general inquiries concerning area activities in accordance with established policies and procedures
• Types complex and routine correspondence, reports, various forms, tables, pamphlets, etc., from rough draft, handwritten notes, machine dictation, or general verbal instructions
• Recognizes confidential information pertaining to the supervisor’s position and/or department and/or company, and maintains it in accordance with standard procedure

Job Requirements



• Minimum 2 years of administrative experience
• Minimum 1 year of PeopleSoft experience
• Minimum 1 year of PowerPoint presentation experience
• Minimum 1 year of spreadsheet creation and manipulation
• Minimum of 3 years secretarial/administrative experience
• Minimum of 3 years MS Office experience
